The Associate Sales Operations Director is responsible for driving operational excellence across the pharmaceutical sales organization, with a specific focus on managing fleet operations, optimizing sample strategy, alignment optimization and ensuring efficient and compliant sales support. This position will collaborate internally with Specialty and Biosimilar Sales, Specialty Marketing, Managed Markets, Compliance, and Sales Training to enable the sales teams to achieve performance goals by streamlining processes, enhancing field activity and maximizing resource allocation This position will manage external partners (Enterprise and Hibbert) and will develop effective solutions in collaboration with them. This role will manage a ~10M spend across these vital resources. The ideal candidate must demonstrate personal accountability for delivering effective, compliant solutions, high quality service, and the ability to work collaboratively to meet business partner expectations while proactively addressing and resolving issues that may arise.
Essential Functions
- The Associate Sales Operations Director has sole ownership responsibilities for Sample and Warehouse Management. This position is responsible for developing and maintaining a sample distribution strategy which includes developing sample effectiveness KPIs, establishing annual budgets for each of the promoted specialty/biosimilar brands, balancing product availability with field demand to maximize impact and drive physician engagement, and to align with compliance requirements. Additionally, this role is responsible for determining when the samples are produced and shipped collaborating with Supply Chain. Once shipped, this role will manage the allocation approach of samples to each sales force. This role manages warehouse vendor(s) and is responsible for the inventory management of marketing materials and product samples. The Associate Sales Operations Director manages the sample accountability program and field engagement activities such as transactional reviews and sample monitoring programs including processing, scheduling, communications, tracking and documentation. This position leads the compliance and operational support for sampling programs including driving random and for-cause audits, signature verification audits, FDA & State Reporting and field sampling noncompliance remediation and training. This position is responsible for continuous improvement and automation procedures for efficiencies, and the development of engaging field communications and training programs.
- The Associate Sales Operations Director has complete ownership responsibilities for the redesign of Fleet Management Program and manages the external account team (Enterprise). Additionally, this role is responsible for negotiating contracts with our vendor as well as making individual leasing decisions for our fleet. This position oversees vehicle life-cycle management: ensuring new hires and promoted employees receive appropriate vehicles for their level: ensuring maintenance, insurance, fuel cards are properly managed; and ensuring vehicles are maintained in optimal condition. This position develops and enforces fleet policies that support sales team productivity, safety, and adherence to regulatory standards. This role tracks fleet performance metrics and identifies opportunities for cost-saving initiatives.
- The Associate Sales Operations Director will coordinate sales force alignment mapping exercises enabling the sales leadership to apply practical geographical shifts and headcount changes for seven sales forces that account for optimal routing. Mapping exercises are a team exercise balancing salesforce optimization, market access, physical access and incentive compensation considerations. The workstream is an excellent opportunity to help the sales teams balance priorities, bridge analytics with resource deployment and get to know each of the sales leads from each of the four sales teams. The AD will coordinate schedules, manage the Zip to Territory changes for upcoming alignment changes and assist in building presentations to justify the changes to senior leadership. In addition, this role is responsible for setting the strategy to create access through Physician credentialing as representative access within more metropolitan market - "No See" offices - is becoming increasingly difficult.
- The Associate Sales Operations Director is responsible for the following sales operations activities: setting up of new field hires in appropriate vendor systems and working closely with the training department to ensure the new hire process is executed in timely and efficient manner; training new hires on operational systems and business policies; assisting in execution of all MSA, SOW and other required documents so the Operations team can execute; provide logistical support and administration to the field sales; responding to field inquiries; and ensuring employees who leave have transitioned resources and are tracked for closeouts (samples, fleet, other resources).
- The Associate Sales Operations Director is responsible for general Marketing and Commercial support and serves as the primary point of contact and process owner for any internal or external audits of systems or Marketing Operations processes. This role is a core member of the Operations team and supports ad-hoc projects as necessary. This position supports PRC resource allocation, credentialing for Community Oncology, scheduling tool support like RxVantage and the development of dashboards to provide insights on how to improve and create efficiencies.
Education
QUALIFICATIONS
- Bachelors Degree (BA/BS) Business, Marketing or a related field - Required
Experience
- 8 years or more in Commercial Pharmaceutical Industry
- 4 years or more in Sample accountability experience and an understanding of PDMA guidelines
- 5 years or more in Sample accountability experience and an understanding of PDMA guidelines
- in US marketing or launch experience
