Rees Scientific is seeking a highly organized and proactive Executive Assistant/Office Manager with experience supporting C-level executives. This dual role combines high-level administrative support to the CEO and leadership team with office management responsibilities. The ideal candidate excels at managing competing priorities, maintaining confidentiality, and ensuring smooth office operations. This is an on-site position at Rees Scientific.
Key Responsibilities:
· Provide high-level administrative support to the CEO and leadership team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
· Prepare, edit, and organize correspondence, reports, presentations, and other documents.
· Act as a liaison between the CEO, leadership team, and internal/external stakeholders.
· Manage special projects and initiatives, ensuring timely and effective execution.
· Handle sensitive and confidential information with discretion and professionalism.
· Organize and prioritize incoming requests and ensure follow-up on action items.
· Coordinate events, meetings, and conferences, both on-site and off-site, as requested by the CEO and leadership team.
· Track and process executive and office-related expenses, ensuring compliance with company policies.
· Oversee day-to-day office operations, including facilities management and office supplies.
· Coordinate maintenance and repairs for office equipment and systems.
· Ensure office policies and procedures are followed and maintained.
· Foster a professional and welcoming office environment for employees and visitors.
· Other administrative and office management tasks as needed.
Qualifications and Skills:
· Bachelor’s degree preferred, or equivalent professional experience.
· 3+ years of experience in administrative support and office management, preferably supporting senior leadership.
· Exceptional organizational and multitasking skills to manage competing priorities effectively.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (e.g., Teams, Zoom).
· Strong written and verbal communication skills with the ability to engage with stakeholders at all levels.
· High attention to detail and a proactive, problem-solving approach.
· Proven ability to handle confidential information with integrity and discretion.
· Professional demeanor with strong interpersonal skills to foster effective collaboration.
