What You Get To Do
The PM Coordinator duties and responsibilities include providing support to ensure efficient operation of the Project Management/PMO, Site Management, and Site Safety Management departments. Supports managers and employees through a variety of tasks related to organization and communication. The PM Coordinator is responsible for confidential and time sensitive material and familiar with a variety of industry concepts, practices, and procedures.
This position requires the ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. The PM Coordinator must rely on experience and judgment to plan and accomplish goals applying a wide degree of creativity and latitude. This position may require directing and leading the work of others.
Essential Functions and Responsibilities:
The Project Coordinator supports the Project Management Office by assisting senior project managers in planning, coordinating, and tracking projects from initiation to completion. This role ensures timely delivery of project milestones through documentation management, stakeholder communication, meeting facilitation, and monitoring budgets, schedules, and compliance requirements.
- Assist senior project managers in planning, coordinating, and executing projects from initiation to completion.
- Track project progress, deliverables, and deadlines to ensure adherence to timelines.
- Prepare and maintain project documentation, reports, schedules, meeting notes, and act as scrum master for overdue actions.
- Support project managers in tasks and stakeholder communication between all internal departments as well as with the Customer.
- Serve as a point of contact between internal teams, vendors, and clients, ensuring clear and timely communication.
- Facilitate project meetings, including scheduling, agenda preparation, and follow-up actions..
- Monitor project budgets and expenses, reporting variances or potential risks.
- Support processing, tracking, and distribution of project deliverables; ensure compliance with insurance, bonds, lien releases, and other contractual obligations.
- Maintain project documentation completeness in DOXiS and verify compliance with schedule milestones in ASTA or MS Project. Prepare status review meetings (internal/external), presentations, and Q-Gate reports; remind project managers to schedule Q-Gates. Perform general administrative tasks for the project managers, which are simple but time-consuming (preparing form sheets).
- Proactively communicate potential delays and send reminders to ensure timely completion of tasks.
What You Have
- Associate degree in Business, Project Management, or related field (bachelor’s degree preferred).
- 2+ years of experience in project coordination, project support, or a similar role.
- Excellent organizational, multitasking, and time management skills.
- Demonstrates dependability, consistent punctuality, and integrity in all work activities. Ability to work collaboratively with cross-functional teams and independently when required.
- Strong problem-solving skills and attention to detail.
- Excellent verbal and written communication skills (English).
- Experience in project coordination, project support, or a similar role.
- Hands-on experience with MS Project and proficiency in Microsoft 365 tools (Word, Excel, PowerPoint, SharePoint, Teams).
- Knowledge of Project Management methodologies (Agile, Waterfall, or hybrid) or ability to learn quickly. Associate Project Management certification (e.g., CAPM) or ability to obtain within first year.
Working Conditions and Environment:

- Professional office etiquette is required at all times
- Ability to travel by air both domestically (US) and internationally (primarily to Austria and other parts of Europe as well as Canada)
- Physical requirements: sitting for long periods of time, standing, walking, climbing a ladder, speaking, visual acuity, finger dexterity, listening, reaching at arm’s length, and lifting up to 25 pounds.
