Meet The Team
Provide assistance to Executive Vice President for Global Business Services, Quality, Clinical Affairs, Medical Affairs, and Regulatory/Government Affairs by coordinating a wide variety of administrative functions, including schedule management, travel management, and acting as a liaison to all internal and external entities. This position requires a highly organized and self-motivated person who is flexible and can work well under pressure. The person in this position may also support the respective executive’s direct report(s) with travel and some administrative functions.
Where You Come In
- Manage all aspects of executives’ schedule, including coordinating and prioritizing meetings according to their preferences, handling complex calendars, making judgment calls on rescheduling and cancellations and preparing agendas.
- Represent the executives by welcoming visitors and accompanying them to the appropriate area or person; review correspondence; arrange company dinners and other corporate functions; answer questions and meeting requests directed to the executives.
- Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; and adjusting plans as needed.
- Screen all incoming calls/messages and correspondence.
- Arrange corporate travel and meetings by developing itineraries and agendas; book other transportation; arrange lodging and meeting accommodations; manage expense reports while adhering to company policies and procedures.
- Handle sensitive information and maintain confidentiality of all personal and corporate matters.
- Communicate with other stakeholders acting as a conduit for sensitive information (e.g., reports, data, contracts, etc.) between executive and key personnel.
- Assist in preparing team and corporate communications in written and presentation formats.
- Make high-level contacts of a sensitive nature internally and externally.
- Work with all levels of employees. And work closely and effectively with others to coordinate company events.
- Assist with onboarding the executives’ new hires that report directly to them.
- Order and deliver catering for breakfast and lunch meetings.
- Coordinate and execute offsite team meetings and teambuilding activities.
- Order and maintain supplies and work with IT to manage issues.
- Submit and manage legal documentation using internal tools including NDA’s, consulting agreements, MSA’s and other legal agreements.
- Perform other duties as required.

- You can be accessible at various times outside of a typical workday and sometimes weekends to make changes to travel, schedules. and other urgent needs.
- You have demonstrated the ability to work independently, have strong organizational and planning skills, and able to use sound judgement and problem solving skills.
- You possess advanced computer skills along with the ability to train others on system usage to included strong computer expertise in Microsoft Office, Excel, PowerPoint, SmartSheets, etc.
- You have a familiarity with Buydesk Sourcing and Procurement or other procurement software, as well as Onit Matter Management or other legal in-house matter management software.
- You have demonstrated expertise in creating presentations in PowerPoint, to include content development, formatting, and error proofing.

Travel Required
Experience And Education Requirements
- Typically requires a Bachelo’s degree and a minimum of 5-8 years of related experience.
