Position Summary
The Purchasing Specialist is responsible for supporting the procurement, sourcing, and purchasing of materials, supplies, equipment, and services required to support laboratory operations. This role ensures that all purchasing activities are performed in compliance with company policies, budgetary guidelines, and applicable regulatory requirements, including FDA, OSHA, cGMP, and Eagle Analytical’s Quality Management System (QMS).
The Purchasing Specialist plays a key role in maintaining supply continuity, managing supplier relationships, ensuring accurate procurement documentation, and supporting cross-functional departments with timely and cost-effective purchasing solutions. This position requires strong attention to detail, data accuracy, and the ability to manage multiple priorities in a fast-paced, regulated environment.
What You'll Do
- Create, manage, and execute purchase orders and bid requests in accordance with company policies.
- Ensure product availability aligns with production needs, required quantities, and timing demands.
- Maintain accurate purchasing data including lead times, costs, order multiples, minimum order quantities, and vendor terms.
- Manage internal and external sourcing needs across multiple departments.
- Ensure timely order placement, confirmation, and tracking through delivery completion.
- Prepare, maintain, and audit procurement documentation, purchase orders, and contracts.
- Manage new vendor onboarding and new item setup processes.
- Negotiate pricing, contracts, and terms to achieve best possible cost outcomes, including key supplier agreements.
- Conduct strategic sourcing initiatives to reduce costs, improve quality, and optimize vendor base.
- Consolidate vendor relationships where appropriate to improve efficiency and leverage purchasing power.
- Strengthen supplier relationships through regular meetings, performance reviews, and trade show participation.
- Resolve supplier issues, delays, and concerns in a timely and professional manner.
- Ensure manufacturer qualification processes are properly implemented and maintained.
- Collaborate with planning teams to evaluate forecasts, production schedules, and work orders.
- Proactively communicate supply constraints, delays, or risks that may impact production or internal stakeholders.
- Ensure alignment between procurement activities and production demand planning.
- Support inventory optimization efforts through collaboration with internal stakeholders.
- Work closely with QA/QC and Receiving teams to resolve quality issues related to incoming materials.
- Partner with Accounts Payable to resolve supplier invoicing, billing discrepancies, and accounting issues.
- Collaborate with Operations, Laboratory, Logistics, and Finance teams to ensure seamless supply chain execution.
- Support internal stakeholders with sourcing requests and procurement guidance.
- Maintain ERP/MRP system accuracy for supplier, item, and purchasing master data.
- Ensure accuracy of all procurement-related system inputs including pricing, lead times, and vendor information.
- Develop reports and analyze data related to purchasing trends, supplier performance, and cost savings opportunities.
- Support forecasting, inventory planning, and demand analysis using system data and reporting tools.
- Maintain documentation integrity to support audits and compliance requirements.
- Ensure all purchasing activities comply with Eagle Analytical’s Quality Management System (QMS).
- Maintain adherence to FDA, OSHA, cGMP, and internal regulatory requirements.
- Participate in continuous improvement initiatives to enhance procurement efficiency and cost effectiveness.
- Support audit readiness through proper documentation and process compliance.
- Assist with special projects and process improvement initiatives as assigned..
Who You Are
- Bachelor’s degree in Business, Supply Chain, Finance, Life Sciences, or related field preferred
- 2–5 years of experience in purchasing, procurement, supply chain, or inventory management
- Experience in a regulated environment (FDA, cGMP, laboratory, pharmaceutical, or healthcare preferred)
- Strong proficiency in Microsoft Excel, Word, Outlook, and ERP systems
- Experience with data analysis, reporting tools, or dashboards strongly preferred
- Excellent organizational, communication, and problem-solving skills
- Detail-oriented, organized, and process-driven professional
- Strong communicator with the ability to collaborate across departments
- Analytical thinker with experience in data interpretation and problem-solving
- Comfortable working in a fast-paced, regulated laboratory or manufacturing environment
- Self-starter who can manage multiple priorities with minimal supervision
