Boesen & Snow Law is a well-established health and pharmacy law firm located in Scottsdale, AZ and Indianapolis, IN. We represent individual healthcare providers as well as corporations involved in healthcare delivery and support, including 503A, 503B, retail, specialty, and mail order pharmacies. Our team includes 11 attorneys, three pharmacists, and 15 professional staff members.
Position Overview:
Our Legal Administrative Assistant position is an opportunity to join a growing team doing highly specialized work that makes a real impact on the healthcare professionals and businesses we serve. You'll work in a fast-paced, deadline-driven environment and interact directly with clients as a trusted point of contact alongside the attorney you support.
At its heart, this role exists to optimize your attorney's time. You'll own the day-to-day mechanics that keep the practice running smoothly: managing calendars, organizing matters, staying ahead of deadlines, and anticipating needs before they arise. It's a detail-driven position ideal for someone who likes to stay a step ahead, takes ownership of process, and handles confidential information with discretion.
Key Responsibilities:
- Maintain attorney calendars daily, including client meetings, board meetings, matter deadlines, etc.
- Manage and monitor attorney inbox daily, ensuring timely responses to clients, task completion, and deadline visibility.
- Audit attorneys' daily time entries to ensure they are complete, accurate, and assigned to the correct matter before submission.
- Retain and organize receipts for any purchases made on the firm credit card.
- Maintain client files and documents in SharePoint, ensuring they are correctly organized, accurately named, and compliant with firm file-naming standards.
- Meet weekly with attorneys to discuss deliverables due for the week.
- Prepare case summaries on a bi-weekly basis.
- Ensure the attorney intake process is followed end to end.
- Track attorney CLE credits and confirm annual completion.
Qualifications:
- Prior administrative or legal assistant experience (1–3 years preferred), ideally in a law firm or professional services environment.
- Experience managing multiple inboxes. (3 for this role)
- High Proficiency with Outlook, Clio, SharePoint.
- A proactive, anticipatory work style—comfortable taking ownership and following through without close supervision.
- Exceptional organization, time management, and attention to detail.
- Strong written and verbal communication skills.
Compensation
$25 - 30/hour, depending on experience.

Full-time, 40 hours per week, on-site in Scottsdale, AZ. Some work outside regular business hours with opportunity for overtime.
