This role provides high‑level administrative support to the SVP/Chief Scientific Officer (CSO), a member of the Executive Leadership Team (ELT), and Vice President–level roles within his team. The Executive Assistant keeps executives organized by maintaining daily calendars, managing workflow, scheduling meetings and travel accommodations, and troubleshooting support needs. This position serves as a key resource with broad knowledge of the Company and its organizational structure, supporting all levels of management.
Key Responsibilities (Essential Duties)
- Manages a complex calendar, travel, expenses, and expense reports for the CSO, and events for the HR Team across multiple time zones. Additionally, provides support to Senior Medical Affairs and Regulatory senior leaders. Manages confidential information and projects under the direction of the CSO and his senior team.
- Drafts and edits various communications and presentations for both internal and external audiences. Schedules internal and external meetings, luncheons, conferences, presentations, and presentation equipment.
- Works with international colleagues on various global projects with the CSO and Senior Leaders.
- Types newsletters, compiles statistical data, and creates graphical presentations for Company use.
- Establishes and maintains confidential files and records, including follow‑up files to ensure actions are completed.
Expertise: Knowledge & Skills
- Ability to communicate and work cooperatively with all levels of management, vendors, contractors, and the public
- Ability to work in a fast‑paced environment while managing multiple tasks
- Understanding of departmental and Company policies and administrative procedures
- Proficiency in business correspondence writing
- Strong command of English grammar, spelling, punctuation, and usage
- Ability to accurately record or transcribe meeting minutes
- Strong organizational skills with the ability to independently plan and meet deadlines
- Ability to research, draft, and compile reports and records
- Experience scheduling meetings and conferences and arranging travel and lodging
- Ability to organize and maintain filing systems
- Proven ability to maintain confidentiality of Company information
Qualifications
Required
- 5+ years of executive‑level administrative support experience; experience supporting Quality, Regulatory, or Medical Affairs functions highly preferred
- Strong technical skills in the Microsoft Office suite of applications
- Educational attainment equivalent to high school graduation, supplemented by specialized coursework or training in word processing, spreadsheet, presentation, and database software
Compensation Range: $65,000-$75,000
The targeted range for this role takes into account a range of factors that are considered when making compensation and hiring decisions; included but not limited to: skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. Compensation decisions are dependent on the facts and circumstances of each case. The range provided is a reasonable estimate.
