Trane has a new exciting opportunity to join our organization as a Project Administrator supporting our Service Department. Locations for this role would be either in Seattle, WA or Denver, CO.
Under direct supervision, the Project Administrator is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of projects. This position is required to closely interact with the Admin Team Leader, Area Service Managers and assigned service team members to ensure the timely completion of each project.
Responsibilities include the following and other duties may be assigned:
Sets-up service agreements and/or quoted projects/jobs in system application based on transition documents.
Reviews and updates Billing Backlog reports daily.
Review invoices for accuracy, and processes service invoices for assigned job types.
Validates, applies and posts applicable costs to service work orders.
Coordinates with various team members for accurate and timely recording of project costs, including materials, time sheets, labor hour allocation, daily reports, etc.
Enters and edits Purchase Orders as needed.
Handle billing request changes and special requirements for customers timely.
Responsible for general administrative functions, as it relates to billing.
Responsible for generating, interpreting, and printing various assigned reports.
Prioritize and organize tasks to meet timing requirements or deadlines.
Communicates with Account Managers, Field Technicians, Customers, Area Service Managers and other internal team members, as necessary to resolve obstacles or answer inquiries regarding billing.
Schedule and participate in internal project team meetings to ensure accurate transfer of information.
Maintains customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
May reconcile purchasing card transactions for technicians.
May file appropriate State required forms as needed.
May prepare claims for filing.
Qualifications:
One-year certificate from college or technical school and three (3) plus years of related billing experience and/ or training; or equivalent combination of education and experience.
Candidates without a 4-year degree are encouraged to apply; we prioritize practical experience, relevant skills, and alignment with our leadership principles.
Participate in and contribute to lean improvements activities.
Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
Familiarity with the operation of HVAC Systems preferred not required.
Flexibility to work overtime/ weekends, as required.

$63,491.66 - $89,214.99
