Position Summary
The Staffing Coordinator supports the operational readiness of nursing services by coordinating onboarding workflows, maintaining compliant personnel records, and assisting with staffing logistics. This role ensures that required documentation, certifications, and onboarding milestones are completed accurately and on time, enabling clinicians to be fully credentialed and scheduled without delay.
Operating within established processes, this position serves as a key coordination point across candidates, clinical staff, and internal partners, driving consistency, accuracy, and efficiency in staffing-related activities.
Essential Functions and Duties
Onboarding & Documentation Coordination:
- Coordinate onboarding workflows for nursing staff, ensuring timely completion of all required documentation.
- Serve as a point of contact for candidates, providing guidance throughout the onboarding process.
- Track and maintain completion of required onboarding materials in accordance with company standards.
Compliance & Record Management:
- Process background checks in accordance with company procedures and applicable federal and state laws.
- Verify and maintain Form I-9 documentation in compliance with federal guidelines.
- Maintain accurate personnel records, including certifications, licensures, and required documentation.
- Monitor certification and licensure expirations and coordinate renewals to maintain compliance.
Scheduling & Operational Support:
- Assist with scheduling new hire orientations and support ongoing nurse scheduling coordination.
- Support staffing-related administrative workflows to ensure continuity of operations.
- Prepare and maintain reports related to onboarding, compliance tracking, and staffing activities.
Audit & Process Support:
- Support internal and external audits by ensuring documentation is complete, accurate, and accessible.
- Follow established procedures to maintain audit readiness and documentation integrity.
- Identify and escalate discrepancies or gaps in documentation or compliance requirements.

Education, Knowledge, Skills and Experience
Required Education:
- High school diploma or equivalent.
- Equivalent professional experience demonstrating core administrative and coordination capabilities may be considered in lieu of formal education.
Preferred Education:
- Associate’s or Bachelor’s degree in business administration, healthcare administration, or a related field.
Required Knowledge:
- Working knowledge of administrative processes related to onboarding, documentation management, and record-keeping.
Preferred Knowledge:
- Familiarity with healthcare staffing environments or credentialing processes.
- General understanding of onboarding documentation and compliance practices.
Required Experience:
- Minimum two (2) to four (4) years of administrative, clerical, or coordination experience demonstrating strong organizational capability and attention to detail.
Preferred Experience:
- Experience supporting onboarding, staffing coordination, or HR operations.
Required Skills:
- Strong organizational and time management skills with the ability to manage multiple priorities.
- High attention to detail and accuracy.
- Effective written and verbal communication skills.
- Ability to follow structured processes and maintain consistency.
- Ability to work independently within established guidelines and collaborate effectively as part of a team.
- Sound judgment in handling sensitive and confidential information.
Preferred Skills:
- Experience with HRIS, onboarding systems, or scheduling tools.
- Ability to operate effectively in a fast-paced, deadline-driven environment.
Physical requirements
Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for long periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. The employee may occasionally lift up to 20 lbs. and kneel and bend. Must have the ability to travel occasionally. Working conditions include normal office setting.
