Facilities & Real Estate plans and directs facility maintenance and food services as well as real estate activities including acquisitions, dispositions, leasing and property development.
Real Estate is responsible for the purchase or negotiation of all property acquisition, disposition lease administration and lease agreements. This job family develops strategies for site locations and availability and makes recommendations for the acquisition and disposal of properties. This job family ensures proper documentation of lease or purchase transactions and manages relationships with outside vendors, consultants, and relevant local community/government groups.
Responsibilities
- Abstracting and interpreting commercial lease documents (leases, amendments, subleases) and other real estate related documents ensuring compliance with company policies and procedures
- Interpret and analyze lease language to determine the right course of action as to Landlord and Tenant responsibilities
- Monitor and manage critical dates and deadlines, including but not limited lease commencement and expiration dates, rent commencement dates, option deadlines, etc.
- Actively guide and track company interest and rights of the lease under routine circumstances such as security deposit burn off, TI Allowance expenditure or other lease specified LL & Tenant obligations
- Interact with landlords and 3rd party lease stakeholder on lease administration matters including vendor set-up, billing questions, insurance requirements, and lease matters
- Liaise with legal counsel and business units to resolve facility disputes
- Draft formal correspondence, letters, and legal notices
- Process monthly rent payments and billing adjustments, including operating expense reconciliations and year-end adjustments.
- Subtenant administration to include collection and tracking of rental income and invoicing of operating expenses.
- Complete year end desk top audits of Operating Expenses
- Provide actual and forecasted expense information requested by internal finance team members
- Maintain and keep organized electronic file database
- Contributes to the evaluation and improvement of current lease administration procedures and guidelines, to promote organization, efficiency, & compliance
- Handle Special Projects as assigned
Location: Ideal location is within a 1-hour commute to Dublin, OH. The Consultant, Real Estate Lease Administration may work from home but will also require working onsite in Dublin, OH approximately 1-2 times per quarter.
Qualifications
- Bachelor's degree in related field, or equivalent work experience, preferred
- 5+ year Lease Administration experience working with medical, commercial office and warehouse Leases
- Experience performing commercial Real Estate Transactions a plus
- Experience with CoStar Real Estate Manager or similar SAAS real estate system
- Accounts Payable and Account Receivable experience preferably in commercial real estate
- Strong written and oral communication skills
- Must be motivated and self-starter with the ability to handle multiple tasks and prioritize workload
- Must be organized, detailed oriented and can determine solutions to problems as they arise
- Microsoft Office Suite – Expert
- Notary preferred
