The Administrative Assistant position reports to the HR Director and provides comprehensive administrative support to senior leadership across a range of functions. The Administrative Assistant is integral to managing day-to-day operations, handling administrative duties and supporting various leadership team activities. The role requires a high level of initiative, organizational skills, and the ability to manage multiple tasks simultaneously. The Administrative Assistant will also oversee office management duties, ensuring that office supplies, equipment, and other resources are well maintained.

Essential Functions:
- Provide top-tier customer service to all scheduled and unscheduled visitors.
- Manage the front desk area, performing general administrative tasks, as needed, to ensure smooth office operations.
- Provide administrative support to senior leadership, including calendar management, meeting coordination, and assist with travel arrangements, as needed.
- Prepare and organize materials for meetings, presentations, and internal reports for senior leadership and various teams.
- Coordinate and document meeting agendas, take meeting minutes, and ensure action items are tracked and followed up on.
- Organize and maintain files, documents, and other critical materials.
- Handle the preparation and submission of monthly expense reports.
- Support the senior leadership in managing projects and special initiatives as assigned.
- Assist with the coordination of events, ensuring all logistics are in place for attendees, meeting materials, and scheduling.
- Monitor, maintain, and stock break room, office and conference room equipment and supplies.
- Assist with the management and negotiation of office place vendors and related vendor contracts.
- Other tasks and duties as assigned.
Experience and Necessary Competencies:
- High school diploma or GED required. Associates or Bachelors degree preferred.
- 1- 2 years of administrative support or office management experience.
- Strong written communication and research skills, with an ability to synthesize information and communicate it clearly.
- Excellent organizational skills, with an ability to manage competing priorities and deadlines effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Exceptional interpersonal skills with the ability to build and maintain relationships internally and externally.
- A proactive and flexible approach, able to handle multiple tasks independently while maintaining high standards of accuracy.
- Experience in contributing to a positive, inclusive, and collaborative workplace culture.
- Understanding of 503B regulatory requirements, cGMP standards, and USP guidelines is a plus!
- Proficient written, verbal and oral English communication skills are required.
- Proficiency with Microsoft 365 tools including Outlook, Microsoft, and Excel.
Physical Requirements:
- This is a full-time, on-site position in Englewood, CO with regular office hours (Monday-Friday).
- Activities will primarily take place in an office environment, with occasional lifting (up to 50 pounds) and standing for extended periods.
- Occasional travel may be required, and the ability to drive and maintain a valid driver’s license is necessary.
