Key Responsibilities
Job Summary and Qualifications
Administrative & Office Support
- Develop and update PowerPoint presentations with a high level of quality and creativity.
- Ensure adequacy of office supplies and equipment.
- Receive, sort, and distribute incoming mail.
- Greet, receive, and assist incoming visitors.
- Provide reception desk coverage as needed.
- Offer backup support to other administrative assistants within the department.
Calendar & Scheduling Management
- Maintain and manage team member calendars, ensuring accuracy and proactive conflict resolution.
- Coordinate schedules, prioritize functions and appointments, and ensure deadlines are met.
- Manage and organize complex activities including meetings, travel, training sessions, and department events.
- Prepare itineraries, agendas, and handle registrations for meetings and conferences.
Operational & Project Support
- Process and submit expense reports for business expenditures.
- Copy, assemble, and prepare agendas, handouts, and presentations.
- Maintain email distribution lists.
- Design, update, and maintain spreadsheets and departmental databases.
- Compile reports from data and existing records.
- Proofread documents, presentations, and communications for grammar, spelling, layout, and uniformity—ensuring accuracy and clarity before distribution.

- Anticipate team needs and act with initiative.
- Deliver consistent, high quality work under deadline pressures.

Qualifications
- 3–5 years of leadership support experience or 7+ years of departmental administrative support.
- Advanced proficiency in Microsoft Office: Word, Outlook, PowerPoint, and Excel.
- Experience using Concur is a plus!
- Experience managing multiple Outlook calendars for leaders.
- Strong experience creating and updating PowerPoint presentations.
- Exceptional organizational skills with the ability to manage multiple priorities with meticulous attention to detail.
- Strong written and verbal communication skills.
- Proactive problem-solving abilities with sound decision-making capability.
