As an Administrative Assistant - Hazardous Waste, you will play a critical role in supporting regulatory compliance, documentation control, scheduling, and communication related to the handling, storage, transportation, and disposal of hazardous waste. This position is ideal for a detail-oriented professional who thrives in structured, regulated environments and enjoys supporting operational teams behind the scenes. Key Responsibilities
- Coordinate scheduling for hazardous waste pickups, transportation, and disposal with vendors and internal teams.
- Maintain accurate records including manifests, waste profiles, permits, inspection logs, and training documentation.
- Assist with regulatory compliance documentation (EPA, DOT, state, and local agencies).
- Track waste streams, quantities, and disposal timelines; support data entry and reporting.
- Prepare documentation for audits and inspections; respond to document requests.
- Communicate with internal departments, vendors, and regulatory agencies.
- Manage calendars, meetings, and training schedules related to hazardous waste operations.
- Maintain electronic and physical filing systems in accordance with record retention requirements.
- Provide general administrative support to operational leadership as needed
Requirements
- High School Diploma or GED required; Associate degree or coursework in environmental science, business administration, or related field preferred.
- 1–3 years of administrative experience; experience in environmental, industrial, or other regulated settings preferred.
- Strong organizational skills with high attention to detail and accuracy.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable working in database systems.
- Ability to manage multiple priorities, meet deadlines, and maintain confidentiality.
- Strong written and verbal communication skills.
- Working knowledge of hazardous waste regulations (RCRA, EPA, DOT, OSHA) or willingness to learn.
- Experience with waste tracking systems or compliance documentation is a plus.
- Comfortable working primarily in an office environment with occasional visits to operational areas requiring basic PPE.
- Ability to sit for extended periods and perform standard office tasks.
- On-the-job training will be provided for specific regulatory requirements, internal systems, and operational procedures related to hazardous waste management
