We are seeking a detail-oriented and highly organized Proposal Specialist for a temporary, in-office position to cover a maternity leave. This role develops proposals and presentations that support local, regional, and national sales efforts across multiple business units. The Proposal Specialist communicates company policies, strategic direction, and capabilities through compelling, client-focused writing while managing multiple projects under strict deadlines. This role collaborates cross-functionally to support sales and marketing initiatives.
Essential Functions
- Receive, review, and analyze RFPs and proposal requests; identify requirements and coordinate the collection of necessary information from internal teams.
- Serve as liaison between sales, contracts, and finance teams to ensure legal, pricing, and content requirements are met.
- Manage proposal timelines and workflows across all phases, including planning, writing, review, design, and production.
- Write customized, client-specific proposal content tailored to industry and customer needs.
- Review, edit, and proof proposal drafts to ensure accuracy, quality, and compliance with deadlines and company standards.
- Identify risks, gaps, or issues within RFP requirements and proactively follow up with stakeholders to support proposal strategy.
- Track deadlines and follow up with internal partners to ensure on-time submission.
- Coordinate printing and delivery of proposals and confirm successful submission.
- Research client information to support value proposition development.
- Identify and secure relevant references, success stories, and approvals.
- Participate in special projects and perform other related duties as assigned.
Education, Experience & Skills
- Bachelor’s degree required.
- 2–4 years of experience in proposal writing, sales support, marketing, communications, or project management.
- Strong written and verbal communication, editing, proofreading, and research skills.
- Highly organized, detail-oriented, and capable of managing multiple deadlines.
- Comfortable working in a fast-paced, deadline-driven environment.
- Experience with RFP processes and content management systems.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Adobe tools.
- Experience with Adobe InDesign, Photoshop, or Illustrator is a plus.
- Experience in staffing, sales, or marketing is a plus.
