Summary
Responsibilities
This is a third-party hire role.
Providing a full range of administrative and operations support to all the onsite functions at Lupin Somerset -Bridgewater.
Essential Duties And Responsibilities
- Support HR, Site Leadership, and operations team with various administrative tasks, including but not limited to:
- Managing the front desk reception area by signing in guests, answering phone calls, etc.
- Responsible for receiving visitors and guests, scheduling conference room reservations, placing lunch orders, and managing expenses.
- Supports the employee engagement initiatives on the Site by arranging operational support.
- Coordinate and manage Work Orders with Leasing company, work with vendor, tracking of orders, and handling invoices for manager approval and payment.
- Track office expenses to conduct monthly P-card reconciliation reports
- Support Leadership with expense reimbursement in concur.
- Keep inventory of supplies and coordinate orders with Admin and HR.
- Work with procurement to create and maintain purchase orders.
- Updates and maintains the communication corner and office announcements.
- Handle mail distribution, Mailing of documents/packages as required by leadership and HR.
- Monitor and refill coffee stations, pantry items, meeting room supplies, printer papers, and stationery closets and deal with respective vendors for upkeep.
- Support the HR team with coordination with candidates for interview, escorting and guiding candidates, calling, scheduling meetings, etc.
- Any other duties and responsibilities that maybe assigned.

Preferences
- Bachelor’s Degree or two years related experience and/or training; or equivalent combination of education and experience. – Preferred
- High degree of proficiency with Word, Outlook, calendar management, and PowerPoint; proficiency with Excel and/or SharePoint and Concur is a plus
- SAP experience is preferred but not required.
- knowledge and proficiency with MS Teams and Outlook.
