Position Overview
The Senior Document Control Specialist will play a critical role in managing and maintaining regulated documentation within the organization’s document control system. This role requires expertise in quality systems, documentation management, and change control processes.
Key Responsibilities
Perform file maintenance and update operating procedures, work instructions, and quality system templates/documents.
Manage document change orders, reports, and all other regulated/controlled documentation.
Operate and maintain the document management system, ensuring accuracy and compliance.
Process change requests in the M-Files document management system (not Windchill).
Ensure accurate completion of change requests and quality system documentation in Windchill and legacy document control systems.
Serve as a Windchill Administrator, providing training and support to users.
Assist in system validation, upgrades, and workflow changes.
Conduct consistency checks for document formats and content.
Collaborate with the Change Review Team to prioritize change requests based on business needs.
Oversee the Change Management Process, coordinating with the Change Management Team as needed.
Train users on various document control systems and processes.
Retrieve and organize documentation for internal and external audits.
Support onboarding by training new employees in document control procedures.
Assist with special projects as assigned by the Manager.
Prioritize workload to meet evolving business needs.
Education & Experience Requirements
Preferred Education: Associate or Bachelor’s degree
Required Experience: Minimum 2 years of experience in Document Control or Change Control
Required Skills & Qualifications
Strong knowledge of quality systems and document management processes
Highly organized with exceptional attention to detail
Strong customer service and communication skills
Experience working in a cross-functional, matrixed environment
Proficiency with document management systems, including Windchill
Experience processing documentation releases through a document control system
