An experienced BILLING COORDINATOR is immediately sought for Frier Levitt's Pine Brook, NJ, office.
This is a non-exempt position, 35 hours per week. Billing Coordinator will work in the office 5 days a week to start; may become eligible for 1 day of remote work after 60 days, at the discretion of the Firm.
Billing Coordinator responsibilities:
- Compiles and bills attorney hours to clients every month
- Reviews and edits pre-bills
- Applies retainer funds as directed by attorney
- Processes write-offs following Firm policy
- Executes complex bills in a timely manner (i.e., multiple discounts by matter, split-party billing, preparation of electronic bills)
- Handles a high volume of bills per month
- Effectively interacts and communicates with attorneys, legal assistants, and clients
- Reviews and verifies accuracy of billing and supporting documentation as required
- Researches and responds to inquiries regarding billing issues and problems
- Creates new billing formats as needed
- Creates billing schedules and various other billing analyses as required
- Creates and issues final client billing
- Creates and distributes monthly reports
- Communicates with customers to resolve problems, collections of customer accounts and analysis of customer account activity, account reconciliations, cash applications, authorize credit holds as deemed appropriate
- Responsible for new customer record set-up and maintenance, including receipt of all documentation and working with senior management in establishing credit limits
- Performs collection calls by phone as well as managing electronic correspondence as it relates to collections of accounts receivable
- Reviews accounts receivable and makes appropriate recommendations for write-offs, chargebacks or third-party collections as required
- Resolves account billing discrepancies in a timely manner; reconciles and applies customer payments to appropriate outstanding invoices; reviews aging accounts on a regular basis and identifies potential bad debt write-offs
- Ensures strict confidentiality at all times
Requirements:
- College level accounting classes, college Accounting degree, or equivalent work experience
- 2+ years hands-on billing experience (in a law firm or professional services organization, a plus)
- Strong organizational skills and attention to detail
- Proficiency with MS Office.
- Familiarity with standard billing software for professionals
- Experience in CenterBase a plus
- Familiarity with e-Billing systems a plus
- Efficient multitasking, prioritizing, and time management skills
- Strong customer service skills
