Title: Project Coordinator
Location: Alameda CA
Duration: 6+ Months (Possibility to extend)
Responsibilities
- Experience in project management, from conception to delivery will need to understand the different phases of a project and the life cycle.
- Experience in Administrative roll (Office Management and Event planning)
- Expert-level experience in Microsoft Office (Word, PPT, Excel, SharePoint, Power Automate).
- Expert in Word, PowerPoint, and Excel is Required. SharePoint and Power Automate are nice to have but not required.
- List any preferred requirements that would stand out on a resume.
- Demonstrated use of technology and software Project
- Experience in Event planning: Coordinate office events will be setting up events including setting up rooms for events, sending out the invites for events, ordering the food etc.
- Experience as admin will be handling expenses on concur for managers and scheduling possible international travel for Directors.
- The ability to multitask, manage time, and organize schedules and action plans
- The ability to pay close attention to detail, even under pressure
- Strong Communicator both verbal and written
- Minimum of 2 years in project Management / Office coordinator role
- Associate’s degree
Duties
- Assist project managers with communication projects involving departmental or cross-functional teams.
- Assist project management leads in the development of standard techniques and tools, and by working with appropriate staff to understand current and future state.
- Supports the preparation of project plans, schedules, and budgets by using project management tools such as Microsoft Project and Smartsheet and by working with Project managers to understand tasks necessary to complete the project.
- Supports the execution of tasks by tracking project schedules, identifying and escalating risks, and developing and executing contingency plans.;
- Supports the preparation of project status reports / Meeting Notes by participating in departmental and customer project status update meetings.
- Organize schedules for meetings, events, and appointments
- Responsible for Managing office supplies and equipment
- Assist with onboarding new employees
- Responsible for organizing schedules for level meetings, events, and visits
