Payroll Intern

Attention current Bachelor’s and Master’s students who love tackling new challenges. Clean Harbors is looking for a Payroll Intern. Our Payroll Intern will be responsible for computing specified payrolls, processing a variety of transactions, and preparing and generating a variety of forms and reports. They will be introduced to This internship provides hands-on experience with key payroll processes, systems, and industry best practices, all while contributing to the seamless execution of payroll across multiple regions.

Key Experiences And Learning Opportunities

• Payroll Processing: Interns will gain exposure to processing payroll for a diverse workforce across all 50 states and Puerto Rico, including union and non-union employees, multiple FEINs, and various pay frequencies.
• Payroll Systems: Interns will be introduced to industry-leading payroll and timekeeping systems, including UKG Pro Workforce Management (WFM), Kronos, and ADP. They will assist with system audits, data entry, and troubleshooting payroll discrepancies.
• Compliance and Reporting: The internship includes learning about payroll compliance with federal, state, and local tax regulations, as well as the preparation of reports such as disqualifying dispositions and taxable auto allowances.
• Acquisition Integration: Interns will observe and assist in the integration of payroll systems and processes following company acquisitions, gaining insight into change management and policy alignment.
• Collaboration and Communication: Interns will work with payroll team members, offshore teams in India, and various departments such as HR and Benefits. They will participate in meetings, assist in employee inquiries, and support communication efforts related to payroll.

• Proof changes, additions, and terminations paperwork received from HR personnel against generator reports and data; maintains employee payroll records
• Perform data entry of transactions not handled by HR-Payroll interface/KRONOS/WIN
• Import hours for weekly payroll and responsible for transmission of payroll to the payroll vendor
• Monitor provisions of Collective Agreements/unions, Prevailing Wage/SCA (as applicable) and initiate changes to payroll vendor, including dues, etc.
• Prepare tax and 401K contribution transfers, (loans, limits), as applicable
• Generate monthly/quarterly/annual reports for field/operations, HR, Accounting as required
• Calculate and process manual checks, wire transfer requests, process retro-active payments in accordance with company policies.
• Maintain sick & vacation records/balances/accruals for employees in accordance with policies, and process corresponding year-end reporting as needed.
• Initiates stop payment and recall of direct deposits transactions, as approved by payroll management; Initiate check requests for monthly deductions and wire transfer requests.
• Complete employment verifications/ROE's, unemployment forms, worker’s compensation forms, and Levy and Garnishment documentation and transactions
• Perform reconciliation of deduction, weekly processing, monthly payroll reconciliations, etc and report discrepancies to Payroll Manager as appropriate, along with applicable/required research for problem resolution.
• Prepare W-2s/T4's at year-end (relocation, stock options, Declaration of Employment, CPP/EI discrepancies, etc).
• Maintain & distribute WCB Clearance Certificates
• Respond to employee inquires, and management requests regarding payroll issues--keen customer service
• High school diploma or equivalent required
• Current student working towards bachelor’s or master’s degree
• Critical thinking: ability to identify the right audience, message, and goals
• The desire to learn and master new skills
• Analytical mind; Intermediate PC/Excel skills Required, Advanced Excel skills a plus
• Ability to handle multiple priorities
• Ability to maintain confidentiality
• Strong attention to detail
• Strong written and verbal communication skill
