This role provides flexibility to work 4 days on site in Franklin Lakes, NJ, and Friday remotely on a weekly basis.
Responsibilities
- Provide all executive administrative support for confidential meetings, materials and scheduling related to the Compensation and Human Capital Committee (CHCC) of the Board of Directors, including management of CHCC materials on Director portal
- For the SVP, Total Rewards and the SVP, Talent & Leadership Development, manage and maintain executive schedules, meetings, appointments and travel arrangements, across multiple timezones
- Process expense reports, and partner with finance to coordinate cross charge process
- Assist other key members of the Total Rewards COE and Talent & Leadership Development COE with scheduling, travel arrangements and expense reporting
- Process incoming requests, determine level of importance and urgency and elevate appropriately
- Process incoming and outgoing mail
- Organize and manage events, conferences and executive meetings
- Handle Purchase Orders, invoice management, and vendor management
- Create/update departmental files
- Assemble, compile and maintain data as directed for regularly scheduled reports and presentations and ad hoc projects
- Create high quality PowerPoint presentations and Excel spreadsheets and maintain organizational charts
- Handle confidential information with integrity and professionalism
- As a member of the Executive Administrative team, will also be called upon to serve as back up for other executives.
Education
- Minimum of a High School Diploma with secretarial school training or equivalent work experience required
- College degree a plus but not a requirement
Experience
- 10+ years’ experience as an Executive Secretarial/Administrative level Assistant
- Experience supporting multiple leaders in a multi-functional, fast-paced environment, preferably at a progressively responsible and/or corporate level
Knowledge And Skills
- Self-starter with the desire and ability to take initiative
- Extreme confidentiality and discretion a must; position handles highly confidential information on a regular basis
- Demonstrated ability to work independently under time constraints, manage competing priorities and deadlines, and handle multiple tasks efficiently
- Strong communication and interpersonal skills, given the significant contact with senior management and external contacts
- Event planning skills and experience
- Proven ability to effectively prioritize, complete multiple tasks and change work priorities to meet unexpected deadlines, including working additional hours when necessary
- Excel spreadsheeting capability with knowledge of formulas
- Advanced PowerPoint skills for creation/maintenance of org. charts and presentations
- Proficiency in Outlook or similar email/calendaring tool
- Strong customer service focus, highly organized, responsible, and detail oriented
- Demonstrated ability to prioritize and process high volume of work while maintaining the highest quality
- Must be able to identify and resolve problems and requests in a proactive and timely manner
- Must be able to gather and analyze information skillfully
- Proven ability to work well in a team-oriented environment
- Demonstrated ability to exchange information clearly and concisely
- High level of professionalism.
- Experience with Workday and Concur a plus
