What You Get To Do
The Health & Safety Compliance Assistant duties and responsibilities include providing support to ensure efficient operation of the Health & Safety Department. Supports Managers, Team Leads, & Employees through variety of task related to organization and communication. The Health & Safety Assistant is responsible for confidential and time sensitive material and familiar with a variety of industry concepts, practices and procedures. This position requires the ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. The Health & Safety Compliance Assistant must rely on experience and good judgment to plan and accomplish goals applying a wide degree of creativity and latitude. This position may require directing and leading the work of others.
Essential Functions and Responsibilities:
- Creates and monitors time tracking sheets for projects, resident and field maintenance sites and prepares OSHA300A logs for filing
- Creates regularly scheduled reports for internal and external reporting
- Creates and maintains contractor (e.g., third party trainers) resource files
- Updates and maintains resource files in resource tracking system
- Updates and maintains tool tracking in Hilti tool tracking system
- Organizes shipping and return shipping of Safety Equipment
- Supports the RFQ process (creates material lists and time calculation files) for third party safety vendors, trainings etc.
- Initiates, updates and tracks purchase order requisitions, purchase orders and invoices in SAP
- Creates and maintains department KPI’s
- Creates and maintains active project files
- Supports department with travel-related matters (e.g., visa, hotel address, car, contact person, etc.)
- Creates, monitors and maintains personnel files in various systems
- Organizes and engages 3rd party services and personnel as needed
- Collects project file information from departments
- Organizes and maintains department SharePoint site
- Assists with reconciling department expense reports for approval (SAP, Concur)
- Supports HR in the recruiting and onboarding of new safety hires
- Organizes and schedules trainings, meetings and appointments
- Researches and creates presentations
- Handles sensitive information in a confidential manner
- Develops and updates tracking and filing systems to make them more efficient
- Supports other internal projects as needed
What You Have
- High School diploma or equivalent; College degree preferred
- At least 3 years’ experience in the field or in a related area
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organization skills
- Proficient in MS Office
Working Conditions and Environment:
- Authorization to work in the U.S.
- Occasional travel required up to 10%
- Passport or ability to obtain passport
- Professional office etiquette is required at all times
- Overtime as required by work
- Physical requirements: sitting for long periods of time, standing, walking, climbing a ladder, speaking, visual acuity, finger dexterity, listening, reaching at arm’s length, and lifting up to 35 pounds
