Position Summary...
ARL Bio Pharma is the nation's leading Pharmaceutical quality and safety testing laboratory and is experiencing phenomenal growth and opportunity currently due to our hard-earned reputation for quality and service. The Purchasing Specialist will process and expedite purchases of orders from various vendors, and track and prepare records of supplies, materials, and equipment. This position will take charge of coordinating and executing all activities associated with acquiring goods and services, maximizing department and company efficiency, and meeting business needs and objectives. This position will need a high degree of interpersonal skill set to build and maintain relationships with multiple vendors and the ability to maintain accurate organized records with requests and invoices arriving simultaneously.

Work Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m. Some Flexibility is required as occasional extensions after 5:00 p.m. and weekends may be necessary to meet business needs, but not highly anticipated.
Job Duties...
- Maintain physical and digital filing systems.
- Communicate with internal and external agents and shareholders via email or phone in a professional manner that represents the company and department.
- Prepare daily and cyclical time-sensitive reports.
- Keep accurate and up-to-date records of all purchases, including prices, quantities, and delivery dates. Ensure that all information is documented and easily accessible for reference and reporting purposes.
- Establish and maintain good relationships with suppliers and vendors.
- Interact with suppliers to obtain favorable pricing terms, monitor availability, and optimize savings.
- Collaborate with various departments to determine their procurement needs. Prepare purchase orders, ensuring accuracy and compliance with company policies and procedures. Send purchase orders to suppliers and monitor their fulfillment.
- Communicate with vendors to expedite delayed orders and resolve issues related to changes, returns, replacements, and credit arrangements.
- Research processing problems and contact departments and vendors to resolve problems and discrepancies.
- Respond to inquiries by telephone or in writing, to complex questions.
- Accurately and efficiently sort, code, and match invoices to appropriate accounts.
- Prepare, set, and process electronic and cash payments.
- Maintains current knowledge of trends and developments in techniques and technology relevant to the field and stays current on industry, company, and departmental methodologies, terminology, and regulations.
Minimum Position Qualifications...
- High School Diploma – or equivalent Diploma with an additional 1-year experience or...
- Associate’s degree – or equivalent diploma.
- Must have 2 years of experience in an accounting department in accounts receivable, collections, analysis, and/or reconciliation.
- Must have experience in Bookkeeping procedures for a company with more than 100 employees.
Work Environment...
- This job operates in a professional office environment using typical office equipment (scanners, printers, computers, phones).
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
- The noise level is quiet.
- Primarily dominated English-speaking workplace.
- Attendance at the office is required.
Physical Requirements...
- This is a sedentary role; however, a short period of walking between buildings daily and some filing is required.
- This position would require the ability to lift 25 Lbs. (if an object weighs more than 50 Lbs. ARL requires this to be a two-person job or use of carts).
- Ability to use hand strength and finger dexterity to perform fine manipulations of typing and writing.
- Operation of standard office equipment.
- Must be fluent in written and spoken English to receive and communicate information for standard and complex operations and emergencies clearly and accurately.
- Requires visual acuity to read and write words and numbers with or without correction.
- Requires hearing communications accurately with or without correction.

Because of the vital nature of this work, we do not allow medical marijuana cards and we do random drug testing on all our employees.
