What You Will Do
Ecolab is seeking an
Administrative Assistant to support senior management and team members. In this role, you will participate in various projects and activities and provide advanced administrative support to leaders and the business. We are looking for a driven and resourceful Administrative Assistant who wants to work in an exciting and challenging environment. The job responsibilities for the Administrative Assistant would include (but are not limited to):
As the administrative assistant for Ecolab’s King of Prussia office, you will be the first point of contact for visitors. In addition, you will be responsible for a variety of tasks to ensure the office is functioning properly. The duties include administrative support across the organization. You will be responsible for managing some of the following functions but not limited, to office activities, maintaining supplies, communication, vendor management, stocking, event planning and courier needs.
Responsibilities
- Receive Customers, Sales Personnel and Executive visitors
- Direct general phone inquiries to correct department
- General office duties
- Email Management, sending and responding to emails in a timely manner
- Printer and Copy management
- Conference room/office preparations
- Security procedures / visitor sign in
- Office repairs and maintenance vendor management
- Support the planning and execution of onsite events across the PA facilities (Halloween, Holiday parties, etc.)
- Support onsite events at the new Customer Experience Center in King of Prussia working directly with the lead event planner for Life Sciences
- Support the planning of the 2026 Global LS Sales meeting
- Support the Global LS marketing team with ad hoc administrative tasks related to LS events, customer events happening at local sites, support onsite branding activities as needed together with LS branding lead (signage, badges, monitors, etc.)
- Provide ad hoc support for marketing administrative tasks (printing, document collation, team meeting planning etc.)
Minimum Qualifications
- High School Diploma
- 2 years’ experience in office management, administration, or reception
- Computer proficiency
- Strong oral and written communication skills
- Excellent organizational and time management skills
- Self-motivated, proactive, problem solver
- Experience with Microsoft Office Suite software (Excel, Word, Access, and Outlook)
- Ability to work in our King of Prussia – 5 days a week
Preferred Qualifications
- 3+ Years experience with office administration
- Ability to work independently in a multi-division, fast paced environment
- Experience with onsite event support and planning
Location: King of Prussia, PA
Annual Or Hourly Compensation Range
The pay range for this position is $47,500.00 - $71,300.00. Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
