The Craneware Group supports a flexible work environment as well as a collaborative and teamwork focused atmosphere. The Executive Assistant will be expected to work a hybrid working arrangement spending 3 days a week in our Deerfield Beach office.
The Executive Assistant provides administrative support to various executive roles and other senior management; and support the facilities teams as required.
You Will Be:
- Coordinating meeting logistics (travel, accommodation meeting space, food and drink, etc) to ensure successful meeting(s), also provides support to events team on an ad-hoc basis.
- Providing administrative support as required to various executive roles and their teams to ensure reports, documents, letters and any other collateral are produced accurately and timely. Calendar management may be required.
- Preparing documentation required for finance department (purchase orders, invoices, expense reimbursement reports and accounts, as well as budget).
- Supporting facilities to ensure the smooth and safe operation of the office/reception area as cover is required due to leave etc.
- Supporting travel arrangements within the guidelines of the travel and expense policy to ensure that employee travel needs are being met in a fiscally responsible manner.
- Managing hotel partner relationships to ensure a quality and cost-effective service for business travelers.
- Managing the travel portal partner relationship. Manage day to day operations of this provider and deliver reports on performance making recommendations to the Executive team.
You Will Bring:
- 5+ years’ experience working as an administrative assistant supporting senior management and/or a business function including diary management, scheduling travel and other administrative duties such as document preparation.
- Microsoft Office - ability at intermediate level.
- Demonstrable time management skills, highly organized and the ability to organise others.
- Good verbal and written communication skills, in the use of honed customer service skills.
- High attention to detail, thorough and able to check own work.
- Self-motivated.
